Free Fee exception: If your group’s profit is over $500.00, the festival would like you to consider a donation back to the festival to help keep the festival solvent. A 20% is asked of all commercial vendors and gives your group a point of reference to consider. Thank you all!

Brochures and information:

If you are not selling any items but giving out information we suggest that you have some kind of activity to draw people to your booth, preferably something for children to do. A game, art project, craft, science item, ideas are never limited. Again we would prefer you register your activity so that we do not have activities duplicated.

It’s EXTREMELY IMPORTANT that if for some reason your group cannot set up for the festival that you notify Fran Willis ASAP. This is so we don’t have empty spaces and can hire an outside vendor to take your place if necessary. Please take this responsibility seriously.

Vendor’s Area

  1. Booths must be on site and erected by 9:30 am. Merchandise must be ready for sale by 10:00am.

Friday afternoon and evening set up times are available from 12:00 pm to 7:00 pm

  1. Vendors are to supply their own tents, tables and chairs and are responsible for the tent to be

secure for any weather. Trailer canopies should be rolled up in heavy winds.

  1. No tent stakes can be used on the pavement. Please bring proper weights for each corner of your tent or

canopy. We suggest 2-4 gallon jugs filled with water or sand for each corner and pole if proper

weights are not obtainable.

  1. All merchandise must be behind the marked vendor line. which is the street parking line. All booths must

face the street.

  1. All displays must be safe from mishaps or accidents. Secure all shelves and displays!

You are advised to bring your own shims for leveling and safety. The festival will not have

this kind of material available for you. All trailers must have shocks under the tires.

  1. Group Vendors are allowed two vehicles for transportation purposes and two adult gate tickets

  2. Vendor’s vehicles must be parked in the vendor parking area and not anywhere else on the grounds

nor at your booth site.

  1. No vendor may dismantle until after 7:00pm, and all materials must be off site by 9:30pm the day of

the Festival, unless special pre-arrangements are made with the festival committee.

  1. Please place all trash in the dumpsters not in trash cans

  2. All food vendors must have a Health Permit issued by Yates County before setting up

  3. Stand alone tents larger than 10 X10 feet need a copy of the fire proof canopy label according to

NYS laws. Please be prepared to show this evidence on site.

  1. All booths must be equipped with a fire extinguisher and standard first aid kit.

  2. Gloves are required when handling food.

  3. By New York State law there is to be NO cooking or flames inside any tent.

  4. ALL VENDORS MUST BE UNLOADED AND THEIR VEHICLES REMOVED FROM THE GROUNDS AND PARKED IN THE VENDOR PARKING LOT BY 9:30
